1. Scope the pilot
A pilot should be large enough to reveal real operating conditions and small enough to support closely. Avoid success criteria such as staff liked it; choose something observable, such as retrieval time, record completeness, or unresolved checkout rate.
- Name the pilot buildings and responsible contacts
- Record unit counts and active desk shifts
- List approved phones, tablets, laptops, and desktop computers
- Describe the current visitor process and known pain points
- Agree one measurable outcome and review date

2. Prepare the workflow
Use the building's real visitor categories and destinations. A demonstration form that does not match the operating procedure will not produce a useful pilot result.
- Approve required, optional, and hidden fields
- Confirm visitor notice and internal data-handling procedure
- Create users with the minimum required role
- Check building assignments and management access
- Verify a stable network connection at the desk

3. Test the whole lifecycle
A fast first entry is not enough. The value of the system appears across the complete record lifecycle, including handover, retrieval, export, access changes, and support.
- Train every shift, including relief staff
- Practice manual entry and OCR-assisted entry
- Practice checkout by a different guard
- Search for a record as an authorized manager
- Test a bounded CSV export

4. Review evidence and decide
Compare the pilot outcome with the recorded baseline. Capture staff feedback, but distinguish preference from measurable operational effect. Document unresolved issues and the work required before a wider rollout.
Repute pilots include the complete product, setup, onboarding, support, and an outcome review for the agreed period and scope. Each fixed-price building completes Stripe Checkout before activation and is scheduled to begin its monthly plan after the agreed trial unless cancelled.
