Billing, Cancellation and Refund Policy

This Policy explains how Repute subscriptions, building charges, payments, cancellations and refunds are managed.

Repute is owned and operated by Kythera Technologies FZCO, Dubai, United Arab Emirates.

How Billing Works

Repute is billed monthly per active building based on the fixed pricing unit band selected for that building. Once the organization account is created, authorized administrators can manage buildings, subscriptions, billing and cancellation through the Repute portal.

Admin, manager and front-desk accounts are included without additional per-account software charges. Account creation remains subject to authorized business use, security controls and reasonable technical limits.

Portfolio discounts may be offered for organizations activating several buildings. Eligibility, amount, duration, scope, and any conditions depend on the written Repute quote or order. A discount is not automatic and does not apply unless it is expressly confirmed in writing and reflected in the applicable billing arrangement.

Adding Buildings

When a new building is added, the customer selects its fixed pricing unit band, reviews the per-building monthly price and completes Stripe Checkout. The building remains in payment setup until its subscription is active or trialing.

Unit Counts

Customers are responsible for selecting the accurate pricing unit band. Authorized organization leads and admins may add or remove individual units within that band's limit and may upgrade to a larger band through Repute's billing area, with the prorated charge reviewed and confirmed on Stripe. Self-service downgrades are not available. For a smaller band or more than 2,000 units, contact hello@repute.ae.

Removing Buildings and Cancellation

Customers may request or confirm individual building subscription changes through the Repute billing area. Stripe remains responsible for payment method and invoice administration. A building can be removed only while it has no visitor records or staff/manager assignments; removal immediately reconciles that building's billing before deleting its row. Canceling or removing one building does not cancel the remaining building subscriptions or the organization's Repute account.

Cancellation stops future monthly renewal charges. Access will normally continue until the end of the current paid billing period. Customers should cancel before the next renewal date to avoid the following month's charge.

Payments and VAT

Subscription payments are processed using the payment method saved in the billing portal. Customers authorize Repute and its payment provider to charge subscription fees, applicable VAT, approved additional services and valid outstanding amounts. Card payment details are handled by Stripe and are not intended to be stored directly by Repute.

Published prices exclude the UAE standard 5% VAT. VAT will be added where applicable.

Separately Quoted Items

Devices, hardware, on-site setup, custom development, integrations, data migration and special implementation requirements may be quoted separately. Any separate cost will be confirmed before the relevant work begins.

Free Pilots

An approved Repute pilot may be provided at AED 0 for an agreed period. Before a fixed-price building is activated, the customer must approve its plan and complete Stripe Checkout. When Checkout creates a subscription with an agreed trial end, monthly billing is scheduled to begin automatically after that date unless the building subscription is canceled. Devices and work outside the agreed pilot scope may still be quoted separately.

Refunds

Subscription payments are non-refundable once charged, except where required by law. Refunds are not normally provided because the customer stops using Repute, removes a building or user during a paid period, changes its mind, cancels before the paid period ends, or experiences an internet, network or device issue.

A refund or account credit may be considered where a duplicate payment was taken, an incorrect amount was charged, payment was taken after a valid cancellation, or a refund is required by law.

Devices, hardware, setup services, custom development, integrations and other separately quoted work are non-refundable once supplied, ordered or started, except where required by law.

Failed Payments

If a building payment fails, the payment provider may retry it and Repute may ask the account administrator for another payment method. While the mirrored subscription is past due or unpaid, Repute blocks new operational workflows for that building; another building remains available unless its own billing or organization access state also blocks it. The customer remains responsible for valid outstanding charges.

Access After Cancellation

After cancellation, dashboard access to that building may stop even if stored copies remain within Repute's fixed 60-month platform storage limit. Customers should export required records before access ends. Certain billing, legal, security or dispute information may follow a different retention requirement.
